In the role of Senior Administrative Assistant and Project Coordinator, you will be a functional business partner and primary administrative support person for the VP and Head of Test Engineering.  The Test Engineering organization is a large group of 400+ engineers with 7 senior leaders that are at Director level or above.  You’d be supporting someone that is extremely passionate about the work and is looking to partner with you to bring it to the next level of operational excellence.


As an exceptional candidate, you would embody three separate disciplines of the job:

  • Ultimate PR Person that embodies the brand of the organization and has a very customer-focused attitude with external parties.
  • High performance administrator that is hyper-organized and not afraid to ruthlessly prioritize.


Your role and responsibilities include:

  • Understand the goals, strategy, and image of the leader and their organization. Ensure that you act as a true partner to them and conduct business in collaboration with and in accordance to those priorities.
  • Build well-organized processes and routines that ensure you are consistently maximizing the amount of assistance and pre-work you can provide.
  • Execute on all administrative and planning tasks as quickly and professionally as possible.  Approach all problems with a creative, “get stuff done” attitude.
  • Interface with other executives, clients, and vendors with tact and compassion.  Build strong partnerships with other executive assistants.
  • Ensure that discretion and privacy are upheld to the strictest standards and that trust above all else is something that is valued.


Your general milestones for the first year are the following:

  • Within first week, meet with the leader of the organization to understand ins and outs of their business and personality.  Be able to understand their routine and preferences.
  • Within first week, be able to understand and handle all scheduling tasks and maintain a clean calendar.
  • Within two weeks, be able to understand and handle all expense reports and process any incoming invoices through the financial billing system.
  • Within one month, be able to re-organize all email distribution lists and devise a system to keep them up to date.
  • Within two months, be able to demonstrate the ability to do basic slide presentation work.

  • Executive assistant experience
  • Interested in Software Engineering and a desire to learn more about the industry
  • Ruthlessly organized
  • Not afraid to be honest with senior leadership.
  • Self-starter that is comfortable operating independently, but capable of knowing when to inform or escalate.
  • Multi-tasker that is comfortable thinking on their feet.
  • Comfortable with technology, specifically able to seamlessly use modern communication programs and effectively use internal company websites with ease.
  • Light accounting knowledge preferred, with accompanied expertise in Excel.
  • The ability to translate basic ideas and themes into presentations, with accompanied expertise in PowerPoint.
